Description
Function
The Assistant to the President and CEO is the primary point of contact between members and the Office of the President. The incumbent coordinates access to the President for staff, members, and members of the public, as well as leaders of various other institutions doing business with MSCI. The Assistant to the President is also required to provide graphic design services for the organization.

Background
The Metals Service Center Institute (MSCI) is a trade association that supports and represents members of the metals value chain, including metals producers, distributors, and processors and, to a lesser extent, the interests of metals users. Its primary membership consists of metals service centers – businesses that inventory and distribute metals for industrial customers and perform first-stage processing. MSCI identifies and responds to the networking, educational, public policy, and research needs of the entire metals community.

MSCI has more than 425 members operating from about 1,200 locations in the U.S., Canada, Mexico, and elsewhere around the world. Together, MSCI members constitute the largest single group of metals purchasers in North America, amounting each year to more than 75 million tons of steel, aluminum and other metals, with about 300,000 manufacturers and fabricators as customers.

The Assistant to the President reports to the President and CEO. Also reporting to the President are the Vice President, Finance and Administration, the Vice President, Technology and Research, the Vice President, Education and the Vice President, Marketing and Strategic Growth.

Dimensions
This is a non-supervisory position with coordination responsibilities, charged with maintaining the President’s schedule, producing materials for Board of Directors and Executive Committee meetings, and maintaining accurate records for the President’s office.

Principal Activities Performed by the Incumbent:

1) Provides high-level administrative support to the President and Chief Executive Officer. Operates as primary point of contact on day-to-day operational and administrative issues. Prepares written correspondence, screens and evaluates incoming and outgoing correspondence, establishes and maintains both electronic and paper files and prepares expense reports.

2) Coordinates travel logistics (80% annually) and manages the calendar of the President. This includes extensive travel arrangements, internal and external meetings and conference calls. Prepares complete itineraries including detailed information on ground transportation or car rentals, hotel reservations, meeting locations, distance from the airport, directions to/from the airport, if necessary, and communicates travel itineraries to the President's spouse. Coordinates travel logistics for the President’s spouse as she sometimes accompanies the President to conferences, etc. Checks voice mail and scans email for important communications while traveling.

3) Responsible for scheduling various meetings and dinners for the organization's executive committee, magazine editorial advisory board, investment committee and bi-annual staff meetings. Synchronizes calendars with members of these committees or their assistants to schedule meetings and dinners for the upcoming year. Produces materials and logistics for board and committee meetings. Assembles, communicates and distributes meeting details, agendas and electronic pre-work to the respective members of each committee, board and/or staff.

4) Coordinates, organizes and creates visual communications for numerous events, including board of directors and executive committee meetings, budget and audit committee meetings, chapter events and assembles and organizes slide shows for all MSCI conferences. Independently researches and updates roadshow and/or town hall meeting presentations with the most current released data.

5) Designs and produces graphic materials utilizing a variety of methods, techniques and computer software programs to generate and manipulate images, tables, charts, etc.

6) Works with chapter liaisons (staff) and/or chapter presidents (member volunteers) to schedule the President’s local chapter visits throughout the year. Day-to-day contact with all levels of the organization including members of the board of directors, executive committee, other association executives, outside business vendors, etc.

7) Creates, formats and distributes weekly HTML newsletter to members. Produces news mailing list from the organization's Intranet. Uploads newsletter to the organization's web site.

8) Produces weekly key performance indicator (KPI) reports from membership database. Updates KPI charts and emails them out to staff. Prints out color copies and posts them in the boardroom.

9) Maintains and updates staff business cards, as well as, creates business cards for new employees. Updates board letterhead as appropriate. May be required to create or update personal electronic letterhead for staff, note cards, various electronic invitations etc.

10) Updates membership database as needed. Maintains various committee lists (i.e., board of directors, executive committee, association executives, Committee of 100 and editorial advisory board).

11) Performs other projects as assigned by the President, or other senior MSCI personnel.

Requirements
INCUMBENT REQUIREMENTS

Skills: Expert in Microsoft Office applications (Word, Excel, PowerPoint, and Outlook). Proficiency in Adobe applications (Photoshop, Illustrator and PDF Converter). Knowledge of Dreamweaver and HTML coding. Experience with membership database programs.

Qualifications:
Excellent planning, execution and communications skills are required for this position.

Minimum 7 years experience providing administrative support to top level executives. Ability to anticipate the needs of the President and Chief Executive Officer.

Excellent organizational skills and ability to handle multiple tasks/responsibilities while maintaining focus on details.

Capable of working under pressure with a strong sense of urgency.

Ability to gather data, compile statistical information and prepare charts and graphs.

Excellent verbal and written communication skills.

Must be proactive, decisive and have excellent follow up skills.
Ability to think and respond creatively and innovatively.

Excellent telephone and customer service skills.

Must be extremely resourceful and have the ability to maintain flexibility in a continually changing atmosphere.

Ability to work independently, as well as, possess solid team skills in order to achieve the requirements of the position.

Willing to work extra hours when necessary, flexibility to occasionally support early and/or late meetings.

High level of discretion and integrity when handling sensitive and/or confidential information.

Knowledge of graphics software and project management skills.

Highly proficient in Internet research capabilities.

Ability to type 60 wpm.
